Duties and Responsibilities

Essential Duties and Responsibilities
The Construction/Fixed Asset Accountant reports to the Vice President of Finance and Administration and is primarily responsible for planning construction project’s budgets, performing cost analyses, and reviewing purchase orders, invoices, and reviewing construction contracts. The position is also responsible for accounting the cost of newly-acquired fixed assets, tracking fixed assets, recording depreciation, and accounting for the disposition of fixed assets.

 
Characteristic Duties and Responsibilities

  1. Prepare project budgets, including cost schedules, and working with Physical Plant staff to stay within those budgets, communicating any variances to management, and re-budgeting or re-forecasting as necessary.
  2. Setting up a paperless office system including organized storage of all correspondence, contracts, invoices, purchase orders, and other documents related to construction projects and accounting.
  3. Review invoices and subcontractor agreements for accuracy.
  4. Process payments to vendors and contractors.
  5. Prepare journal entries and construction month end reports.
  6. Analyze project expenditures and project accounting transactions and working unforeseen costs into the budget.
  7. Monitor cash flow and forecast future needs.
  8. Prepare project management reports
  9. Assist with audits of construction projects. 
  10. Create and monitor a system of controls, procedures, and forms for the recording of fixed assets.
  11. Recommend to management any updates to accounting policies related to fixed assets.
  12. Record fixed asset acquisitions and dispositions in the accounting system.
  13. Track the compilation of project costs into fixed asset accounts, and close out those accounts once the related projects have been completed.
  14. Reconcile the balance in the fixed asset subsidiary ledger to the summary-level account in the general ledger.
  15. Calculate depreciation for all fixed assets.
  16. Review and update the detailed schedule of fixed assets and accumulated depreciation.
  17. Recommend to management whether fixed assets should be disposed of.
  18. Prepare audit schedules relating to fixed assets, and assist the auditors in their inquiries. 
  19. Conduct analyses related to fixed assets as requested by management.
  20. Perform all duties with the utmost confidentiality as most activities and transactions are of a sensitive and confidential nature.
  21. Perform other duties as assigned by the Vice President of Finance and Administration.

Qualifications/Certifications/Licenses/Skills

Required:

  • Bachelor’s degree in business administration with at least 18 credit hours in accounting.
  • Three years of work experience in an accounting-related position with a private, public or governmental entity.

 Preferred:
  • Experience in construction, fixed asset accounting.

Knowledge, Skills and Abilities

  • Excellent writing skills
  • Current knowledge of Generally Accepted Accounting Principles and other industry guides including all GASB statements.
  • Knowledge of accounting related to scholarships and endowments.
  • Strong analytical skills.
  • Knowledge of cash handling safeguards, cash transactions, and other related controls.
  • Knowledge of budget building and monitoring.
  • Experience handling internet-based transactions.
  • Strong skills in the use of personal computer software such as Microsoft Office.
  • Experience using information systems.
  • Skilled in the use of office machines such as 10 key calculators, fax machines, and copiers.
  • Ability to handle multiple tasks in different areas.
  • Maintain a pleasant attitude among employees.
  • Be proactive and initiate action as needed.
  • Ability to prioritize assignments to meet deadlines.
  • Work other than regular hours, weekends, and holidays when required.

While performing the duties of this job, the employee is regularly required to sit.
