Executive Assistant, Social Services Department

The Executive Assistant provides high-level administrative support for an executive team member from leading projects to supervising staff.

Job Roles:

  • Responsible for maintaining schedules, meeting agendas, minutes, and other clerical functions for the department leadership.
  • Composes and drafts reports with the ability to analyze and extract actionable information.
  • Fosters strong internal and external relationships, including those with partnering Hospitals, Managed Care Plans, and Social Services agencies.
  • Acts as a liaison with other departments and internal and external customers (including patients, vendors, auditors and inspectors) on behalf of Executive. Handles confidential information and answers complex, department specific questions when necessary.
  • Ensures applicable regulatory and department standards are adhered to on an on-going basis (The Joint Commission, OSHA, etc.).
  • Generates and proofreads correspondences.
  • Leads, educates, coaches and mentors others on LEAN continuous process improvement philosophy, tools and application to accomplish organizational goals.
  • Manages file management database, schedules meetings and sends correspondences.
  • Oversees all aspects of projects ranging from planning, to analysis.
  • Performs other duties as assigned
  • Processes donations, sends acknowledgment letter and creates financial reports.
  • Recruits, trains, develops, engages and retains an accountable workforce.
  • Researches, analyzes, creates and presents reports.

Education/Certifications/Licenses/Registrations

  • Ability and means to travel as needed in a timely manner within San Diego County. DRIVER REQUIREMENTS: Requires an active Class C California driver's license, proof of liability insurance at $100,000, on vehicle used. No more than 2 points in past 12 months; No suspensions in last 2 years for moving violations; No DUI, reckless or felony Driving within 5 years. No license revocation in 7 years.
  • At least 3 years progressively responsible administrative support experience required, preferably in the medical/health-related field.
  • Bachelor's degree in Business Administration, Healthcare Administration, Political Science or related field required.
  • Or equivalent combination of education and experience that provides the skills, knowledge and ability to perform the essential job duties, and which meets any required state or federal certification requirements.

Experience/Specialized skills (including Language)

  • Ability to work well in both a team-based environment and independently.
  • Project management and implementation knowledge and skills, including knowledge of effective change management practices and principles.
  • Exceptional knowledge of business English, including proper grammar, spelling, and punctuation.
  • Exceptional organizational and problem solving skills, attention to detail, time-management skills, and strong motivation to meet deadlines and achieve goals.
  • Exceptional skills in computer applications and software, including MS Office and Desktop publishing.
  • Exceptional written and verbal communication skills.
  • Ability to type 40 - 50 WPM; ability to accurately complete data entry at relatively high speed, utilizing grammar and spell check software.
  • Ability to prioritize, multitask, and assign work to others.
  • Ability to take initiative and ownership of projects.
  • Intermediate skills in report writing and data analysis.
  • Knowledge in medical terminology and healthcare concepts desired.
  • Experience with Social Services and Healthcare organizations strongly preferred.

In the spirit of pay transparency, we are excited to share the base range for this position, exclusive of fringe benefits or potential bonuses.

64,480.00 - 85,973.33

If you are hired at Family Health Centers of San Diego, your final base salary compensation will be determined based on factors such as geographic location, jurisdictional requirements, skills, education, and/or experience. In addition to these factors - we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is what we reasonably expect to pay for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.
