Position Summary/Purpose of Position:

The Artificial Intelligence Interdisciplinary Institute at Maryland (AIM) is just getting off the ground and needs a central figure to coordinate the efforts and communication of the Institute and its directors and other staff, internally, as well as coordinating with external stakeholders. The purpose of this position is to provide professional support to the Institute’s leadership in managing and running Institute operations. As a new unit, AIM will be growing and changing quickly in the years to come. This position will likewise be growing and changing.

Minimum Qualifications:

Education:
  • Bachelor’s degree or equivalent combination of education and experience.

Experience:
  • A minimum of 2-3 years of experience in providing professional, administrative and/or organizational support.

Knowledge, Skills and Abilities:
  • Strong organizational, customer service, and interpersonal skills are absolutely essential to achieving success in this position
  • Excellent verbal and written communication skills are also key
  • Proficiency with MS Office-including Word, Excel, and Powerpoint
  • Attention to detail and an understanding of the importance of confidentiality
  • Ability to work independently and take initiative while also embracing a team environment
  • Ability to multi-task, even with interruptions
  • Proficient in the use of social media platforms

  • UMD experience is helpful, but not required.

Additional Information:

Duties include, but are not limited to, the following:
  • Support the administrative and organizational needs of AIM’s directors and associate directors, including managing calendars, scheduling meetings, and making travel arrangements. Provide general day-to-day administrative support like arranging and handling the AIM Appointment Evaluation and Promotion (AEP) process, helping with production and distribution of official correspondence, maintaining appropriate records, etc.
  • Serve as the central point of contact for the Institute. The incumbent will be the receiver, organizer, and distributor of information, as required to facilitate the Institute’s initiatives and general day-to-day operations. This will be done both verbally and in in writing and will include keeping the website up-to-date and distributing important announcements via social media.
  • Execute travel and small procurement (including t-card and p-card) transactions, adhering to all documentation requirements and usage guidelines and restrictions imposed by relevant agencies.
  • Provide event preparation and “day of” staffing support for meetings and events. Perform other duties, as assigned.
  • The is a brand new department, so there will be many duties as assigned.
