Job Description

The Software Asset Manager (SAM) will report to the Sr. Director for IT Financial Operations as a key member of the IT Admin team responsible for the monitoring and management of software licenses, supporting software acquisition, and management of the Central Software Budget (~$6M) for the Office of Information Technology (OIT).

This role will work closely with Vendor Management within OIT, and partner with Procurement to optimize software licensing agreements and negotiate favorable terms with vendors. The SAM will work closely with the Contracts Specialist to understand contract terms and conduct regular audits to verify software license usage and ensure compliance with contractual agreements. This role will supervise the Software Licensing Professional and support the work of annual software renewals including purchasing and billing / charge back for utilization. The SAM will work across the Division and the University to build relationships in support of stewarding the University’s resources allocated to software. They will also work closely with the ServiceNow team in OIT to fully implement the SAM Pro software module and take a key role in ensuring the data within SAM Pro is accurate and up to date.

Key Areas of Impact:

Partnerships: Will develop partnerships within OIT, specifically with Information Security, Service Delivery, Service owners, etc. and across the institution to support software management and acquisition. Will work to identify and implement opportunities for automation and streamlining of both software asset management and software acquisition processes.

ServiceNow: The SAM will work with the ServiceNow team to implement the SAM Pro module within ServiceNow and then have primary responsibility for ensuring the accuracy of information within the tool. They will work with the ServiceNow team to document all processes around the tool and take responsibility for training the IT Admin team and others across the organization on this tool. Will participate in the planning and implementation of enhancements to the ServiceNow SAM system to support evolving business needs.

Financial Management: The SAM will be responsible for managing and forecasting the Central Software Budget for OIT in collaboration with the Associate Director of Finance. This will include both annual forecasts of anticipated performance and long range planning taking into account upcoming software model changes, usage patterns, and organizational goals. Will conduct regular audits of license entitlements, installations, and utilization to identify opportunities for cost savings, cost avoidance, modifications to current licensing agreements, and compliance with current license terms. Will make recommendations for adjustments informed by software usage patterns to help drive decision making and optimization strategies.

Vendor Management: The SAM will work with Service Owners, OIT Vendor Manager, and Procurement to develop and maintain relationships with software vendors. The SAM will leverage these relationships to stay informed about licensing changes, updates, and upcoming releases. To engage in negotiations to secure favorable terms and pricing with the support of Procurement and in partnership with the OIT Vendor Manager. Drive vendor management strategies by providing vendor performance feedback and relevant data.

Minimum Qualifications

Education: Bachelor’s degree (4 years)

Experience: 3-4+

  • Familiarity with ServiceNow implementation and ongoing utilization, ideally with Software Asset Management
  • Strong communication skills, ability to convey complex issues in simple but accurate terms
  • Strong ethical standards and ability to work with sensitive / confidential information
  • Ability to forge strong working relationships with internal and external stakeholders
  • Ability to work with multiple and diverse leaders across the Division and University
  • Experience working with vendors and managing those relationships
  • Proficiency with MS Office and Google products, University tools, and ability to learn new systems
  • Understanding of the mission and values a Catholic University founded by the Congregation of Holy Cross.
