Program Assistant, Center for Adult Education

Job Description

NOTE: THIS IS A PART TIME POSITION AND WORKS 30 HOURS PER WEEK

POSITION SUMMARY
The Program Assistant provides administrative, financial, and customer service support to the staff and students of the Center for Adult Education (CAE). This position will support all programs under CAE, which include Community ESL, HSE/GED, and Citizenship. This position reports to the Director and works closely with CAE students and the community.


OVERVIEW OF CCA  

The Community College of Aurora serves our diverse community by providing high-quality instruction and support services to prepare students for transfer and employment. DUTIES & RESPONSIBILITIES

GENERAL ADMINISTRATIVE DUTIES

  • Act as first point of contact for potential students, staff, vendors and members of the community by providing information about CAE and CCA programs
  • Develop, produce, and analyze reports, surveys, and spreadsheets as requested
  • Manage, implement, and provide support for the CAE enrollment process
  • Use the necessary computer programs to enter, monitor and track data for programs (i.e. Banner, Access, Excel, LACES)
  • Assist with testing as necessary
  • Incorporate the core principles of Inclusive Excellence in daily interactions and activities, and engage in the college’s broader Inclusive Excellence efforts as appropriate
  • Assist CAE staff with other duties as necessary
Financial Duties
  • Use and maintain a P-card and follow CCA policies and responsibilities related to the acquisition of goods and services. Reconcile card on a monthly basis
  • Act as the main contact for CAE third party payors and make arrangements for students to attend classes
CAE Grant Duties
  • Assist with reporting to grantors and other entities as necessary
  • Work with students on completing goals outlined in the grants
  • Provide CAE students with information regarding college enrollment requirements and give student information to CCA’s Outreach and Recruitment department
  • Assist students with overcoming barriers and navigating transitions

REQUIRED QUALIFICATIONS

  • Two years of experience in a similar position, providing administrative and customer support
  • Demonstrated ability to communicate effectively, both orally and in writing
  • Excellent interpersonal skills
  • Demonstrated organizational skills and ability to prioritize tasks
  • Familiarity with databases and reporting
  • Familiarity with Microsoft Office Suite
  • Commitment to diversity and inclusive excellence

PREFERRED QUALIFICATIONS
  • Experience in Adult Education
  • Familiarity with WIOA and career pathways
  • Experience working in higher education or knowledge of community college/higher education systems and practices
  • Experience with financial transactions, such as billing, collecting payments, and managing a P-card account, or demonstrated ability to learn
  • Proficiency in Spanish, or another language spoken in the Aurora area
  • Experience working with second language learners
  • Familiarity with the Banner database system

SUPPLEMENTAL INFORMATION

Salary Range: Anticipated starting salary range is $43,756.00 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information. CCA offers an excellent benefit plan, including generous leave, holiday, and education benefits. Full time employees immediately upon hire earn 15 hours a month annual leave and 10 hours a month sick leave.
