Senior Financial Assistant

Job Description

SENIOR FINANCIAL ASSISTANT, Institute Affairs, to perform complex and diverse financial duties for multiple on-going projects within Conference Services; anticipate and initiate financial actions regarding general office operations; sets up, monitor, and reconcile multiple cost objects using MIT financial systems; perform monthly financial review and control on all open cost objects; approve procurement card expenses and resolve swept credit card charges; verify accuracy of vendor invoices and work with vendors on refunds, when applicable; work closely with event coordinators to allocate revenue and expenditures to corresponding project accounts; provide on-site staffing of registration and customer service desk, as needed; lead end of fiscal year preparation and close out; collaborate with multiple colleagues and organizations to finalize event statements; prepare customized income and expenditure reports; maintain copies of event contracts and monitor established payment schedules to ensure timely receipt of client deposits and certificates of insurance; and create reports in Excel to help project anticipated revenues.

Job Requirements:

REQUIRED: High school diploma or equivalent; a minimum of five years of experience in accounting or finance; attention to detail and accuracy; ability to work efficiently both under minimal supervision and as a member of a small cross-functional team; ability to set priorities and juggle multiple tasks; excellent organizational, communication, and interpersonal skills; and working knowledge of Excel. PREFERRED: bachelor’s degree; familiarity with SAP; and experience with Macintosh platform. Job #24503-6

This is a 35-hour/week position. Some additional hours may be necessary during peak billing periods or to assist with prescheduled events.
