How you will make an impact
The Executive Administrator provides high-level administrative support to the President and CEO and could provide administrative support to other executives as needed. The EA handles correspondence, heavy calendaring, and serves as a liaison and facilitator of effective and efficient communication with internal customers, partners, attorneys, board members, investors, vendors, and the public as required. They handle details of a highly confidential and critical nature. They coordinate special projects and events, as well as other administrative tasks as needed, while seeking ways to increase efficiency. They support executives in all day-to-day activities during and after business hours as needed.
In this role, you'll have the opportunity to:
- Manage CEO and master company calendar and assist with senior management calendaring of meetings and events. Lead conference registration and arrangements
- Plan monthly calendar, actively identifying and highlighting conflicts and issues
- Arrange sophisticated meetings, both internally and externally, including board of directors, investors, partners, and high-level executives. Lead key events, including off-sites (e.g., R&D, Board, e-team and networking meetings and handle all logistics
- Coordinate complex domestic and international travel for company executives as well as advisors, consultants, board of directors, and other team members as necessary
- Ensure that CEO has advance notice and all vita background information to ensure high credibility and success for various meetings with Halozyme constituents
- Collect and prepare information for meetings including presentation materials and other business documents
- Review/proofread press releases before they are distributed
- Maintain confidential files
- Timely processing of expense reports, PORs, AMEX charges, and PTO for CEO and review PTO requests of CEO direct reports with CEO
- Analyze academic journals and company subscription data and draw conclusions and/or recommend changes for review. Assess new resources.
- Set up meetings with key team members during various road trips so that CEO can strategically target individuals within a given geography that they happen to be traveling in
- Conduct at all times with the highest degree of dignity, professionalism, and interpersonal effectiveness while exercising sound judgement
- Demonstrate a sense of urgency, initiative, responsiveness, and attention to detail
To succeed in this role, you'll need:
- Bachelor's Degree with 12+ years of experience supporting executive staff (an equivalent combination of education and experience may be considered).
- Maintain strictest level of confidentiality and professionalism at all times.
- Excellent problem-solving skills, analytical thinking, and visionary skills vital to support executives required
- Excellent command of the English language
- Effective verbal and written communication skills and ability to effectively interact with employees in a team-based environment
- Anticipate a variety of needs and problems and proactively suggest approaches and solutions
- Ability to prioritize workload, to meet deadlines and to maintain high level of quality and accuracy
- Demonstrate Initiative, resourcefulness and attention to detail
- Strong decision-making skills when responding to high-pressure situation
- Must possess a thoroughly professional and positive image at all times and a solid work ethic.

The most likely base pay range for this position is $108K - $148K per year. Several factors, such as experience, tenure, skills, and particular business needs, will determine an individual's exact level of compensation. Base salary is only one element of employee compensation at Halozyme. Total compensation could include bonuses, sales incentives, and equity awards.
