City Experiences is seeking a Event Coordinator for our operation in San Diego.

This person will be adaptable, dynamic, and embody City Experiences' RESPECT Service System.

About the Opportunity:

The successful Event Coordinator will act as the guest's primary contact post-booking, ensuring a smooth process up until and after the guest's cruise. The Sales Coordinator is responsible for coordinating private charter and group event details for weddings, corporate events and social celebrations, up-selling assigned events through influential techniques and excellent customer service to increase sales and ensure successful events. Essential Duties & Responsibilities:

  • Act as back-up for incoming inquiries HCE receives via phone, mail and internet in a timely manner, as requested by the DOS.
  • Establish positive and professional relationships with clients to provide amazing guest experiences, earn repeat business and ensure quality score goals are met.
  • Exemplify professional and efficient communication
  • Return all phone calls and emails within the same business day
  • Demonstrate excellence in communicating all event information internally - through catering meetings, "All-Calls", finals and additional communication with all departments as needed.
  • Maintain organized and up to date documentation of all client communications in Salesforce.
  • Utilize account management and reservation system accurately
  • Handle coordination and logistics of events as needed/assigned by DOS/RDOS, to include:
  • Finalize all specific areas of event contracts for clear execution by service team; including but not limited to the event itinerary, entree splits, beverage program, guaranteed guest count, and the collection of the final balance within the appropriate timeframe.
  • Use up-selling techniques to increase account revenue opportunities a minimum of 20% average per quarter. Area of focus: hosted beverage programs, photography, merchandise, maximize food and beverage
  • Ensure clear, detailed and accurate events are prepared for weekly catering meetings.
  • Prepare precise "Final" event contracts for on board Event Manager; completed with all specific event details and account/communication backup documents.
  • Provide consistent communication with all departments by preparing and presenting contracts for catering meetings, sending "All Calls" or making phone calls for any changes within two weeks of the event and submitting final group contracts to Event Managers as needed.
  • Coordinate all vendor orders, and event details & logistics while maintaining accurate and detailed notes.
  • Apply sufficient upsells charges on quotes to clients from all external vendor orders to include a minimum 35% mark-up with approved formula.
  • Accurately submit and track all vendor invoices for orders placed. Promptly fill out P.O.s at the conclusion of events
  • Ride a minimum of 1 charter per quarter (rides must include all GLAOC public cruise locations and products)
  • See-off a minimum of 1 charter per month
  • Personally follow up with each client after sailing for feedback on their event and send HCE thank you cards to continue relationships, and to encourage referrals/repeat business.
  • Provide daily Admin support for Sales office, included but not limited to: Answering "main" line as needed, ordering office supplies, greeting walk-in clients and answering general questions, booking walk-in public cruise clients
  • Assist team members with site inspections, proposals, phone inquiries, client questions, etc. when necessary
  • Exhibit an awareness of team member's schedules to coordinate site inspections, lunch, doctor's appointments, days off, etc.
  • Coordinate and attend Sales Team FAM's and tradeshows representing Hornblower and our product offerings -assist with check in and set-up as needed
  • Assist with special projects as assigned by the RDOS/DOS
  • To deliver quality service, always greet guests and potential guests with a smile, answer basic questions and offer guests product information when requested.
  • Accurately complete all documentation including payroll, time sheets, revenue reports, paperwork and invoices on a timely basis.
  • Additional job duties as assigned.

Requirements & Qualifications:

  • High school education required. Bachelor's degree from an accredited college or university preferred.
  • A successful candidate will have 1-2 years previous experience in a sales & marketing support role Experience with customer service and the hospitality industry
  • Practice with Customer Relationship Management (CRM) applications
  • Proficient in Microsoft Office applications with emphasis on Excel, PowerPoint and Word
  • Professional demeanor in person, over the phone, and via email
  • Capability to do basic mathematical calculations including addition, subtraction, multiplication, division, fractions and percentages.
  • Ability to create and analyze a budget spread sheet, as well as compare information, use logical reasoning and handle multiple tasks.
